Form Designer

The Form Designer allows you to manage the User Defined Fields (UDFs) displayed on the Person screen. UDFs store information about a person and can be printed on the ID card.

Accessing the Form Designer

To access the Form Designer, navigate to Administration > Form Designer. Note that you need the EliteID:Administration:Form Designer user permission to use this feature.

Understanding User Defined Fields

A UDF consists of a field type, field label, and field properties. It's important to note that the UDF field type cannot be modified after the UDF is created. For example, if you create a UDF Pick List named "Grade," it will remain a Pick List even if you rename the field label or change its properties. To maintain data integrity, we recommend creating new fields as needed instead of repurposing existing ones.

Mapping a field to the layout

Follow these steps to map an Unmapped Field:

  1. In the Layout section, left-click on an empty cell (the cell border will be highlighted in blue).

  2. In the Unmapped Fields section, hover over the field you want to map and click the plus icon.

  3. The field will appear in the Layout section at the selected cell. If you don't select an empty cell, the field will appear in the first available cell location starting from the top-left.

  4. The last step of the mapping is to configure the Field Settings.

Creating a new field

To create a new field, follow these steps:

  1. Always review the Unmapped Fields list to confirm that a similar field does not already exist.

  2. From the New Field list, select the desired field type (Text, Pick List, Date time, Number, or Checkbox).

  3. After selecting the field type, a New Field modal window will open, prompting you to enter the field Label and configure additional field properties (if applicable).

  4. The field properties differ depending on the chosen field type. Refer to the bottom of this page for a description of Fields and their Field Properties.

Moving a field

To move the location of a field, you must first unmap it and then map it to the new cell. This process will not cause any data loss.

  1. In the Layout section, select the field you want to move.

  2. In the Field Properties section, select "Remove from Layout."

  3. Click on the cell where you want the field to be located (the cell borders will be highlighted in blue).

  4. From the Unmapped Fields list, click the Plus button next to the field.

  5. The field will appear in the selected cell.

Removing a field from the layout

Removing a UDF from the layout will not delete data stored in it.

  1. In the Layout section, select the field you want to move.

  2. In the Field Properties section, select "Remove from Layout."

  3. The field will move to Unmapped fields

Deleting a field

It is possible to delete a field, and by doing so, the field and field data will be deleted.

Warning: Deleting a UDF cannot be undone, and the data associated with that field will be permanently lost.

  1. Select the field you want to delete, and then click "Remove from Layout." The field will appear in the Unmapped Fields section.

  2. In the Unmapped Fields section, hover over the field you want to delete and click the Trash button.

  3. Click "Yes" at the prompt to confirm the deletion.

 

Managing Pages

User Defined Fields can span multiple pages, and you can title these pages for better organization.

Editing a Page Title

  1. At the top of the Layout pane, click the pencil icon to edit the default Page # title.

  2. Enter a new page title.

  3. Click the save icon.

  4. The new page title will be displayed on the Person page.

Adding a page

To add a new page, select the Plus button located at the top-right of the Layout section. Adding a page will increase the page count and allow you to select the new page from the page control.

Deleting a page

Deleting a page will remove the page and unmap all fields assigned to it. However, the fields and data will not be deleted. Follow these steps to delete a page:

  1. Use the page control to select the page you want to delete.

  2. Click the Trash button.

  3. Click "Yes" at the prompt to confirm the deletion.
