What is a Tenant?

A Tenant can be thought of as a individual database on the multi-tenant vdsapps.com platform. A Tenant stores information such as person records and application settings.

How is a Tenant accessed?

Tenants are accessed by creating User accounts that are associated with the Tenant. A User account is associated with a single Tenant.

The Customer and Tenant relationship

Typically, for a small business, K-12 school, and College/University, only a a single Tenant is necessary because it is common to manage all record types and settings in one place from a usability and maintenance perspective.

Multiple tenants can be associated with the same parent Customer as shown in the illustration. This setup is useful when, in this example, a district maintains the application subscription.

Data sharing

Tenant application data, person records, and settings, are not shared between tenants, even when the tenants are associated with the same parent Customer.

Application licensing

Application subscriptions are associated with the parent Customer, and therefore multiple tenants can share an application subscription. Tenant license limits can be enforced to prevent any one tenant’s users from exceeding the allotted licenses. See License Limits

Tenant Management

The RapIDadmin Tenants page provides a listing of all tenants associated with the parent Customer.

To access RapIDadmin select the user avatar > Switch Applications > RapIDadmin

Navigate to RapIDadmin > Tenants

If Tenants is not available in the menu your account does not have the required RapIDadmin:Tenants permission. Contact your administrator for assistance.

The tenant management actions are: Create New Tenant, Edit, Copy, and Delete.

Create New Tenant

  1. Click Create New Tenant

  2. Enter a tenant Name

  3. Click Save to create the new tenant

Note: The organization feature is not production ready.

Edit

Edit permits changing the Tenant name.

  1. Click Actions > Edit

  2. Modify the name

  3. Click Save

Copy

Copy Tenant requires the Tenant->Copy Tenants permission.

The copy feature offers an easy way to create additional tenants with an identical application setup.

  1. Click Actions > Copy

  2. In the Copy Options tab set the number of copies and enter the tenant names.

  3. In the PerfectPass and/or EliteID tabs enable the objects that will be copied into the new tenant(s).

  4. Click Save to start the copy process. It should complete in about 1 minute.

  • Stations

EliteID

  • Card Templates

  • Form Designer Fields

  • Lists

  • Auto ID

  • Settings

PerfectPass

  • Incident Rule Base

  • Detentions and Meeting Times

  • Notification Flags/Groups

  • Notification Templates

  • Slips

  • Semesters

  • Settings

  • Custom Fields

Delete

Deleting a tenant is a permanent action that cannot be undone. Deleting a tenant will remove all its person records and application settings.

  1. Click Actions > Delete

  2. Click Yes at the delete confirmation prompt
